Bookings, cancellations and payments

    What is your cancellation policy?

        If you cancel the booking more than 48 hours before the session starts, you will be automatically issued a credit, which you can re-use.

        Here is a short film to explain how to cancel and re-book sessions online.



        If a refund needs to be issued under exceptional circumstances, a £10 admin fee will be charged to cover our costs.

    What are the deadlines for online booking?

        Adhoc breakfast club sessions can be booked online anytime before 7.30 a.m.

        Adhoc after-school sessions can be booked online anytime before 2 p.m. on the same day.

        Holiday club sessions can be booked online anytime before the sessions start.

    When do I have to pay for bookings?

        Payment for ad hoc bookings and holiday club bookings need to be made at the time of the booking, either by credit/ debit card, BACS, TFC or childcare vouchers.

        Payment for regular breakfast and after-school club bookings can be paid in monthly instalments via credit/ debit card, BACS, TFC or childcare vouchers. Payment needs to be made by the 27th of each month for the following month (e.g. the invoice for September childcare needs to be paid by the 27th August). Please note that payment can take up to a week to show in our account.

Absence / Running Late for Pick up

    How do I let you know about last-minute absence or if I'm running late for pick-up?

        If your child will not be attending breakfast club, after-school club or holiday club due to things like illness, a playdate, or grandparents picking up from school, or if you are unable to pick up your child on time, please send us a text to 07714 391851.

    How do I let you know if someone else is picking up my child from after school club?

        If it’s something that you have pre-arranged, please update your agreed list of collections online by logging onto your account so we have all the information we need when they arrive at pick up.

    What time is pick up and drop off?

        As this varies from school to school, please see our pricing page for timings.

    How does my child get to after-school club at the end of the school day?

        After-school club at Hassocks Infant School is based in Alder Class. A member of staff will collect your child from their class and take them to Kudize Club.

        After-school club at Windmills Junior School is based in the Learning Cafe (near the Year 3/4 classrooms). We collect the year 3 children directly from their classes and we meet the other year groups in the playground. If your child is unsure of where we are based, they can always ask their teacher to show them where to go.

        After-school club at Ditchling. A member of staff will collect the reception children from their classroom, and all other years should head to the classroom.

        Breakfast and after-school club at Wivelsfield Primary School. A member of staff will collect your child and take them to Kudize.

    Where are you based?

        We have four settings: The Windmills Junior School, Dale Ave, Hassocks BN6 8LS; Hassocks Infant School, Chancellors Park, Hassocks BN6 8EY; Wivelsfield Primary School South Rd, Wivelsfield Green RH17 7QN; and Ditchling (St Margaret’s) CE Primary School, Lewes Road, Ditchling BN6 8TU.

        Kudize Club at The Windmills runs a breakfast club and after-school club for Windmills pupils during term time, and a holiday club for all primary-aged children in the local area during the holidays.

        For drop off and pick up at Kudize Club at The Windmills, there will be a doorbell (with our name on it) in the playground, which you will see when walking up the school drive. Please note that parents and carers are not to use the school car park in the morning or before 5 p.m. unless you have prior permission to use the disabled parking bay.

        Kudize Club at Hassocks Infant School runs a breakfast club and after-school club for Hassocks Infant pupils during term time only.

        For drop off and pick up at Kudize Club at Hassocks Infant School, there will be a doorbell (with our name on it) attached to the inner playground gate that leads to the year one playground. Please note that parents and carers are not permitted to use the school car park.

        Kudize Club at Wivelsfield runs breakfast and after school clubs for Wivelsfield Primary pupils during term time only.

        For drop off at Kudize Club at Wivelsfield School, please knock on the hall door and a member of the Kudize staff will greet you. For pick up, please ring the doorbell by the inner door.

        Kudize Club at Ditchling runs breakfast and after-school club for Ditchling Primary pupils, during term time only.

        For drop off at Kudize and Ditchling Primary, please come to the main door. For pick up at Kudize Club at Ditchling School, please come to the office area and we will bring your child to you.

    What food do you provide at breakfast and after school club?

        At breakfast club, we offer a range of low-sugar cereal choices, toast with spreads like honey, jam, Marmite etc, and fresh fruit.

        At after-school club, we provide a tea-time-style snack e.g. sandwich or wrap with a filling of your child’s choice, or brioche, rice cakes etc. plus cheese cubes. There is always plenty of fresh fruit and veggie fingers, and water is always available for children to help themselves.

    What if my child has a special ditary requirement or a food allergy?

        Please email us to discuss your child’s dietary requirements so we can make sure we can provide the right food safely.

    Can I provide an after school snack?

        If you do pack food, please make sure it is NUT FREE i.e. does not contain or say ‘may contain nuts’ on the packaging, as some children are severely allergic to nuts – even when simply in the same room as them.

    Can my child brush their teeth at breakfast club?

        Yes, your child can bring a toothbrush and toothpaste to breakfast club to brush their teeth after eating.

    What is the staff-to-child ratio?

        Reception to Year 2 age: 1:10

        Year 3 to Year 6: 1:15

    How to a book a visit?

        For children who are new to our club, you can book a visit during after-school club hours between 4 p.m. and 5.30 p.m. This is a good way for you and your child to have a look around and meet the staff before their first day with us. If you would like to do this, please email enquiries@kudizeclubltd.com to arrange a day and a time.
